We are a Financial Services Office that provides Financial Planning, Retirement Planning, Pensions, Investments, Life, Health, Disability Insurance, Education Planning & Tax saving strategies to our clients. We are looking for an Administrative Assistant who has past experience working for a financial services firm.

Primary responsibilities will include direct client contact with new and existing clients. The ideal candidate will be energetic, have good communication skills, detailed oriented, organized and possess excellent phone skills.

Please only those with at least 2 years of experience in the financial services industry need apply.

REQUIREMENTS:

* Produce, complete and track all paperwork associated with client accounts from initial account set-up through completion of transfer of assets, as well as client meetings and ongoing service.
* Managing & coordinating day to day operational work.
* Helps Financial Advisor prepare for initial and ongoing client appointments.
* Greets clients & guests in our office.
* Obtains quotes & illustrations.
* Answers incoming client service calls & provides service for financial planning, investment & insurance products.
* Must be able to process distribution requests, address changes, changes of ownership, name & beneficiary requests.
* Process employee enrollments & changes
* Updates and enters all client notes in client folders as the file is being worked on.
* Placing and tracking financial transactions.
* Overseeing rollovers, account transfers and distributions.
* Maintains weekly contact with vendors through confirmation that all accounts have been opened and transfers have been completed. Reports status to Advisor.
* Ongoing maintenance of client files.
* Discusses problems with the Financial Advisor- Keeps the Advisor apprised of any issues.
* Proficiency in Microsoft Excel, Word & Power Point.
